Terms & Conditions
Read the details below or choose another policy from the list.
These terms explain how an IndianRenters rental is confirmed, used and returned. Read them with your quotation and written order confirmation from AAA Rental LLP. The order records the equipment and commercial terms specific to your rental.
Before an order is accepted
Provide the equipment requirement, quantity, address and dates. We confirm stock, the applicable verification steps and the required payment. Ask the team to confirm in writing when the order is accepted and which requirements must be completed first. An enquiry, payment attempt or provisional quote alone does not guarantee dispatch.
If we cannot accept the order, we will explain the position and the treatment of any amount received. Do not rely on a verbal change to a material order term; ask for the revised detail in writing.
What the order must contain
The written order must identify the agreed equipment or approved equivalent, configuration, quantity, accessories, rental start and end, billing basis and amount due. It must also disclose taxes, any deposit, delivery, setup and collection charges, payment dates and the cancellation or early-return calculation. Any refund or inspection deadline applicable to that order must be provided before acceptance.
A make or model substitution requires your approval. A photograph does not override the written specification.
Payments and deposits
Pay invoices by the dates agreed in the order. Contact support before the due date if an amount is unclear or appears incorrect. Payment methods and any payment-related charges are stated in the payment instructions for the order.
If a deposit applies, its amount is disclosed before acceptance. It is separate from rental fees. After return and inspection, we provide a settlement showing outstanding amounts, any supported deductions and the balance to be refunded. A deposit is not automatically the final amount owed if there is a disputed or additional charge.
Delivery and handover
Check the equipment and listed accessories with the handover record. Note a visible issue, missing item or specification mismatch with the team, and retain the record. A fault that was not reasonably visible at handover can still be reported later.
Delivery windows, access arrangements and collection are covered by the delivery policy. Keep an authorised contact available at the address.
Using and moving the equipment
The equipment remains the property of the owner identified in the order. Use it with reasonable care for its agreed purpose. Do not sell, pledge, sub-rent, dismantle or arrange an outside repair without written approval. Ask the team before moving equipment to a different address so support and collection arrangements can be checked.
For DOS laptops, confirm any operating system, software licensing or installation service before delivery. Follow the agreed setup and safe-use instructions. Do not expose equipment to conditions outside its intended use.
Keep equipment identification labels and serial markings intact. Insurance or accidental-damage cover is included only if expressly stated in the accepted order; ask about the cover and its conditions before accepting.
Faults and support
Report a fault to support with the order number and a description of the issue. Stop using equipment if continued use presents a safety risk. We will assess the reported problem and explain troubleshooting, inspection, repair or replacement under the agreed support scope.
Response times, replacement availability and any on-site service are specific to the order. No universal replacement deadline or certified data recovery is promised on this page. A claim that the delivered item was wrong or defective is assessed separately from a voluntary change of plans.
Back up data before a device is inspected or repaired. Software installation, malware removal and data recovery are included only where the written support scope says so.
Damage, missing items, loss and theft
Tell support promptly about damage, a missing item, loss or theft. Keep relevant handover records and incident information. Do not attempt a repair that prevents the original condition from being assessed.
We compare the return with the recorded condition and distinguish ordinary wear from damage. A proposed repair, missing-item or loss charge must be itemised with the assessment and calculation. We will explain what evidence is needed for a loss or theft report. Ask for the valuation method that applies to your order before accepting it.
Changes, cancellation and extension
Request a change before it is needed. Any revised equipment, address, dates or charges must be confirmed in writing. Cancellation rules explain the difference between cancellation, early return and an equipment problem.
Ask for an extension before the agreed end. We must confirm stock availability, any changed rate and the new return date. A pending request is not an approved extension. The extension rules explain repeat billing and renewal.
An accepted order cannot authorise a charge prohibited by applicable law. The consumer cancellation-charge condition is explained in the cancellation rules.
Returning and closing the rental
Arrange return or collection using the method in the order. Back up files, sign out of accounts and remove personal or business information. Return the listed equipment and accessories, and keep the collection acknowledgement.
The order states when billing stops and how a collection delay is handled. After inspection we provide a settlement and process any refund under the agreed timing. Raise a disputed charge with support and retain the records until it is resolved. See returns and refunds.
Complaints and applicable rights
Send the issue, order number and supporting records to support@indianrenters.com. Ask for a written explanation if a charge or decision is disputed. Indian law applies. These terms and order-specific arrangements do not exclude rights or remedies available under applicable law. A later policy update does not change an existing confirmed order without an agreed amendment.
Consumer complaints
For a complaint about a consumer rental, email support@indianrenters.com with the subject "Consumer complaint" and include the order number and issue. We aim to acknowledge the complaint within 48 hours and resolve it within one month of receipt. Raise the issue as soon as you can; a delayed report does not by itself remove an applicable legal remedy.
This complaint process does not restrict a remedy available under applicable law. Request the responsible grievance contact through support if you need escalation.
